The Tulsa Regional STEM Alliance (TRSA) connects the dots around Science, Technology, Engineering, and Math (STEM) education in northeastern Oklahoma. TRSA is focused on providing broad, deep and innovative STEM pathways for all students to access high impact careers. As a backbone organization, TRSA serves the STEM ecosystem through their goals of the 4 C’s: Collaboration, Cultivation, Communication and Calculation.

The Tulsa Regional STEM Alliance’s vision is an abundance of diverse STEM talent fueling a more globally competitive northeastern Oklahoma. The purpose of the TRSA is an intermediary organization that is flexible and inclusive enough to welcome everyone yet includes sufficient structure and organizational support to facilitate and coordinate the work that needs to be done.

Overview

The Office Manager is a part of a growing team to bolster STEM education in the Tulsa region. Under direction of the Executive Director, this role supports all phases of the work of the Alliance while also assisting the TRSA staff in day-to-day administrative activities.

Responsibilities:
  • Office Administrator
    • Management of office equipment and supplies
    • Order office supplies
    • Assist in timely response to requests from TRSA members and the community. This person answers the main line and responds to all inquiries in the info@tulsastem.org mailbox.
    • Coordinating small meetings, including scheduling, ordering catering and booking conference rooms
    • Create and maintain all project documentation via hard-copy & electronic files and filing systems
    • Facilitating staff meetings and ensuring effective communication amongst all staff members
    • Acts as Suite Committee liaison
  • Accounting
    • Acts as a liaison with Accounting Firm
    • Coding TRSA expenses and revenue to appropriate accounts
    • Oversee employee personal expense reports
    • Reconcile credit cards
    • Coordinate bank deposits
    • Assists in purchase orders and invoicing
  • Development Assistance
    • Assist with grant management
    • Assist in donor acknowledgement letters
  • Executive Assistant
    • Supporting Executive Director and Program Director as needed
    • Assists with quarterly Board of Directors meetings
  • IT
    • Act as IT support and liaison with 501Tech.net
    • Assist colleagues whenever necessary
    • Other duties as assigned
Required:
  • Bachelor’s Degree in a relevant field
  • 2+ years of experience in managing office/projects or programs is preferred
  • Accounting experience and basic account principles
  • Familiarity with grant management
  • Ability to work independently with minimal supervision
  • Strong team support, organizational, project management and time management skills
  • Commitment to working within a team environment
  • Flexibility to thrive in a dynamic, fast-paced environment
  • Excellent organizational and communication skills (both written and verbal)
  • Professional attitude and workplace demeanor
  • Thrives in a role helping others
  • Proficiency with Google
  • Valid Driver’s Licence and reliable transportation
  • Some travel required, both local and national
  • Some nights and weekends required
Hours and Salary:

Full-time, salaried position. Benefits package includes health insurance, dental, vision, 401(k), life insurance, and generous PTO. $33k – $35k
